All Fees include: entrance to all scientific events during the official period of the congress according to the Terms & Conditions, entrance to the Opening and Closing Ceremonies, the Conference Bag, the Abstract Book, access to Coffee Breaks and the Electronic Certificate of Participation.

You will be able to book a Workshop only after you pay one of the fees above and your account becomes active. You must proceed to book a Workshop before 5 April 2018 (23.59 GMT+2).

In order to pay, participants must register, log into their accounts and access the “Payment” tab. All payments must be made only after creating a valid account on our website. There will be two methods of payment:

  • online with a debit or credit card – in this case, your account will become active immediately;
  • cash deposit/transfer in the provided bank account – after you pay by bank transfer, you have to log into your account, go to the “Payment” tab and upload a scan/photo of your receipt (proof of payment); in this case, the activation of your account will take up to 72H after you upload the scan of your receipt (please note that you have to wait for your account to be active before booking a Workshop).

Payments can be made in either EUR or RON.

All the bank commissions must be paid by the participant (we should receive in our account the exact fee).

All fees include the Electronic Certificate of Participation. It carries the same validity as the physical one, only with less paper waste.

You will receive the MEDICS Certificate only if you meet all the participation criteria:

 

For Passive Participants:

  1. you must have attended the workshop(s) you booked and to which you have been accepted;
  2. you must have attended the two mandatory events (Presentations, Conferences OR Keynote Lectures; one in the morning group and one in the afternoon group);
  3. you must have filled the Feedback Form (you will receive the Feedback Form at the end of the conference; from the moment you receive it, you have 1 month to fill it)

 

For Presenting Authors:

  1. you must have attended the Presentations;
  2. you must have attended the workshop(s) you booked and to which you have been accepted;
  3. you must have filled the Feedback Form (you will receive the Feedback Form at the end of the conference; from the moment you receive it, you have 1 month to fill it).

 

If you fail to fill in the feedback form during the one month timeframe, you will not be allowed to do it afterwards and you will not receive the Certificate of Participation. We kindly ask all participants to allow up to 2 weeks to receive the document after they fill the feedback form. Your Certificate of Participation will be stored 5 months after the end of the conference. NO certificate-related requests will be taken into consideration after this 5 month period.

If you want to receive a hard copy of the Certificate of Participation, you have to pay an extra fee of 6 EUR / 28 RON at registration (together with one of the fees above). Please keep in mind that you cannot pay the 6 EUR / 28 RON Fee afterwards.

You will receive the hard copy certificate only if you meet all the participation criteria (see above: Electronic Certificate of Participation).If you fail to fill in the feedback form during the one month timeframe, you will not be allowed to do it afterwards and you will receive neither the electronic, nor the hard copy version of the certificate. We will start sending the hard copy certificates 1 month after the end of the conference. We will send the document at the address provided at registration – please make sure you write the correct, full address!

 

You can book a second Workshop if you pay the ExtraWorkshop Fee (20 EUR / 90 RON) before 2 April 2018 (23:59 GMT +2). You can pay the ExtraWorkshop Fee together with your initial payment or at a later time. In order to pay for a second workshop at a later time, you have to log into your account, go to the “Payment” tab and follow the instructions there. You can proceed to book your second Workshop as soon as we process your payment (if you pay online, this happens immediately; if you pay by bank transfer, this may take up to 72H after uploading the scan of your bank receipt). After your payment is processed, when you log into your account and check the “Book a workshop” tab, you will see that the “Book a second workshop” button magically appears. You must book your second Workshop before 5 April 2018 (23:59 GMT +2) (see also Workshops).

If you plan to submit an Abstract, you must pay the Presenting Author Fee (25 EUR / 115 RON) before 2 April 2018 (23:59 GMT +2). After you pay, you will be able to book a Workshop as soon as your account becomes active and you must proceed to book your Workshop before 5 April 2018 (23:59 GMT +2).

You have two payment options:

 

  1. Pay the Presenting Author Fee before the Abstract Submission Deadline (18 March 2018): once you pay the Presenting Author Fee, you assume full responsibility for submitting an abstract before 18 March 2018. Please note that if you do not submit an abstract, any Workshop booking gets cancelled, your account becomes inactive and you do not get a refund. When we announce the list of accepted abstracts, if your abstract got accepted, you do not have to pay any additional fee. If your abstract did not get accepted, you may still attend the conference as a Passive Participant. In order to do so, you have to pay an additional fee of 15 EUR / 70 RON (so that in the end you will have paid 25 EUR + 15 EUR = 40 EUR / 184 RON).
  2. Pay the Presenting Author Fee after we announce the list of accepted abstracts (but before 2 April 2018): Please note that you don’t have to pay the Presenting Author Fee in order to submit an abstract. If you submit an abstract, you can postpone the payment until after we announce the list of accepted abstracts – but you won’t be able to book your Workshop during this time. If your abstract gets accepted, you have to pay the Presenting Author Fee (25 EUR / 115 RON) before 2 April 2018. If your abstract doesn’t get accepted, you may still attend the conference as a Passive Participant. In order to do so, you have to pay the Regular Fee (40 EUR/ 184 RON) before 2 April 2018. After your payment, you will be able to book a Workshop as soon as your account becomes active and you must proceed to book your Workshop before 5 April 2018.  

 

Accepted abstracts will be announced on our website in late March. Co-authors who wish to attend our conference will be able to do so only as Passive Participants (the Terms & Conditions for Passive Participants apply).

Please note that the Early Bird Fee is non-refundable.

THEN you can get a full refund minus the handling fee of 20 EUR / 90 RON if you send us a request before 2 April 2018.

THEN you can get a full refund minus the handling fee of 20 EUR / 90 RON if you send us a request before 2 April 2018.

IF you paid the ExtraWorkshop Fee and did not find any suitable second Workshop and/or you do not want to book a second Workshop anymore

THEN you can get a full refund of the ExtraWorkshop Fee if you send us a request before 2 April 2018.

IF you booked a Workshop and it got cancelled because of the MEDICS 2018 organising team (changes in location, timetable or trainer are NOT included)

THEN you can choose one of the available places at another Workshop;

OR you can get a full refund (in this case you cannot participate anymore in the events that are part of MEDICS 2018).

IF you booked your second Workshop and it got cancelled because of the MEDICS 2018 organising team (changes in location, timetable or trainer are NOT included)

THEN you can choose one of the available places at another Workshop;

OR you can get a refund of the ExtraWorkshop Fee only.

In order to receive a refund, you have to contact us at payments@soms-medics.com and specify an appropriate bank account for this action.

The money will be transferred in the indicated bank account in no more than 5 working days. We will deduct any bank commissions from the refunded sum. Any refund claims not covered in our Terms & Conditions will not be taken into consideration. Incomplete fees or fees paid after the official deadlines will not be refunded.

IF you paid the Presenting Author Fee, but don’t want to come anymore;

THEN you can get a full refund minus the handling fee of 20 EUR if you send us a request before 2 April 2018.

No refunds will be made to participants who paid the Presenting Author Fee and failed to submit an abstract before the Abstract Submission Deadline (18 March 2018).

No refunds will be made to participants who paid the Presenting Author Fee, submitted an abstract that did NOT get accepted as an Oral or Poster Presentation and failed to pay the additional 15 EUR / 70 RON Fee before 2 April 2018.

THEN you can choose one of the available places at another Workshop;

OR you can get a full refund (in this case you cannot participate anymore in the events that are part of MEDICS 2018).

THEN you can choose one of the available places at another Workshop;

OR you can get a refund of the ExtraWorkshop Fee only.

In order to receive a refund, you have to contact us at payments@soms-medics.com and specify an appropriate bank account for this action.
